Refund & Cancellation Policy
At Roam Ready, we believe clarity builds trust. That’s why we offer free consultation calls and only collect payment once you’ve decided to move forward. Once payment is made, planning begins immediately.
Because our services involve custom planning and third-party bookings, refunds depend on work completed and vendor policies, as outlined below.
Travel Insurance Requirement (the only way to fully cover yourself)

Travelers must have medical insurance covering domestic or international travel.

Travel insurance is strongly recommended to cover trip cancellations, interruptions, medical emergencies, and lost or stolen items.

Claims are processed directly with the insurance provider; Roam Ready is not responsible for insurance claims.
Planning Fees for Custom Adventure Planning
Your planning fee covers the time, research, and expertise required to design your custom adventure. Because this work begins immediately after payment, planning fees are non-refundable once planning has started, regardless of whether you ultimately travel.
Bookings & Vendor Refunds
If your plans change after bookings have been made:

We will always attempt to recover any refundable costs from hotels, activities, and other vendors.

Vendor refunds are subject to their individual policies and cannot be guaranteed.

Any refunded vendor amounts will be returned to you, minus applicable processing fees.
If You Can No Longer Travel
We understand that illness, injury, emergencies, or unexpected life events can happen.
While planning fees remain non-refundable, we will:

advocate for you with vendors

explore rescheduling options when possible

help minimize losses wherever we can
For this reason, we strongly recommend purchasing third-party travel insurance to protect your overall trip investment.
Missed Communication
If we do not receive a response to planning communications for 14 consecutive days, your trip may be marked as complete. A final follow-up will be sent before closing your plan.
Change Requests
Major changes to your trip after planning has begun (such as a new destination, date range, or adventure type) may be treated as a new booking or incur an additional $100 fee, depending on the status of the work already completed.
Self-Guided Packages
All cancellations must be submitted in writing via email. Refunds are determined as follows:

There is a 25% non-refundable deposit before we make any bookings.
Liquidated Damages:
This schedule represents a reasonable estimate of costs Roam Ready incurs in trip preparation, supplier payments, and planning, not a penalty.
Pre-Built Digital Trip Plans & Merchandise
All sales are final on pre-built itineraries and merchandise.
Refund Processing
Any approved refunds are subject to a 5% processing fee and will be issued to the original payment method within 7–10 business days.
